Privacy Policy
Who This Applies To
- Organization staff who use the SpeechIntel dashboard (data controllers for their student data; we act as a data processor for that data).
- Students who open a magic interview link sent by their consultancy (we process data on the consultancy's instructions, with student consent collected at session start).
- Prospective customers who contact us via the marketing site or book a demo.
Data We Process
Student interview data
- Name and email (provided by the consultancy)
- Voice recordings of interview answers
- Transcripts generated from recordings
- AI-generated scores, rubric feedback, and evaluator notes
- Consent records and session metadata (timestamps, link expiry)
Consultancy account data
- Staff name, work email, role, and authentication logs
- Question banks, rubrics, dispatch history, and audit trails
- Billing and usage records (audio minutes consumed)
Technical data
- IP address, browser user agent, and device type for security and audit
- Error and performance logs (no intentional recording of interview audio in logs)
Why We Process Data
We process personal data to:
- Deliver voice-based mock interviews and AI-assisted evaluation
- Let consultancies dispatch links, review results, and track student progress
- Operate, secure, and improve the platform
- Meet legal, billing, and contractual obligations
- Respond to demo requests and customer support inquiries
Lawful Basis and Roles
For student interview data, we process personal data on behalf of your consultancy under their instructions, with explicit consent obtained before recording begins (see our Student Consent Notice). For consultancy staff accounts and billing, we act as a data fiduciary/controller for that account data.
Where Data Is Stored
All production data is hosted in India (AWS Mumbai region). Audio recordings are stored in encrypted object storage. Application data resides in a secured database with tenant isolation between consultancies.
Retention
- Audio recordings: deleted automatically after 90 days unless your agreement specifies otherwise.
- Transcripts and evaluation results: retained for the life of the consultancy subscription or as configured in your agreement; students may request erasure through their consultancy.
- Account and billing records: retained as required for tax, audit, and contract purposes.
Security
We use encryption in transit and at rest, tenant isolation, access controls, and audit logging. No method of transmission over the internet is fully secure; we work to maintain safeguards appropriate to the sensitivity of voice data.
DPDP Act Compliance
We comply with India's Digital Personal Data Protection Act, 2023 (DPDP Act), including:
- Collecting explicit consent before recording student audio
- Processing data only for specified, lawful purposes
- Honoring rights to access, correction, and erasure within statutory timelines
- Maintaining reasonable security safeguards
- Designating a Grievance Officer (see below)
Students may withdraw consent before starting an interview; withdrawal means the session cannot proceed. After processing, erasure requests should be routed through the consultancy or to us at privacy@speechintel.in.
Your Rights
Depending on your role, you may have the right to:
- Access personal data we hold about you
- Request correction of inaccurate data
- Request erasure (subject to contractual and legal retention needs)
- Withdraw consent where processing is consent-based
- Nominate another individual to exercise rights on your behalf where permitted by law

Grievance Officer
Complaints about how we handle personal data may be sent to our Grievance Officer. Full contact details and the redressal process are on our Grievance Officer page.
Children
Students using interview links may include minors preparing for study abroad. Consultancies are responsible for obtaining appropriate parental or guardian consent where required. We process student data only as instructed by the consultancy and with session-level consent.
International Transfers
Primary storage and processing occur in India. If a subprocessor processes data outside India, we ensure contractual protections consistent with applicable law.
Changes to This Policy
We may update this policy from time to time. Material changes will be posted on this page with an updated date. Continued use of the service after changes constitutes acceptance where permitted by law.
